Client Services Agreement

Effective Date: 12/08/2025

This Client Service Agreement (“Agreement”) is made between Refinery Strength Collective, LLC (“Coach,” “Company,” “We,” or “Us”) and the undersigned client (“Client,” “You”).
By purchasing, enrolling in, or participating in coaching services (in-person or virtual), you agree to the following terms:


1. Services Provided

Refinery Strength Collective, LLC offers:
  • In-Person Personal Training: One-on-one or semi-private sessions held at the location designated by the Coach.
  • Virtual Coaching: Delivered remotely, including monthly programming, check-ins, accountability, and communication based on the chosen membership or package level.
  • Online Programs or Resources: As applicable.
Service inclusions vary based on the package or membership selected at purchase.


2. Payment Terms

2.1 Payment Required Before Scheduling

All sessions must be paid for in full before any scheduling or programming begins. No exceptions.

2.2 Membership Billing

  • Memberships are month-to-month.
  • No long-term contract is required.
  • Memberships auto-renew on the same date each month (e.g., March 17 → April 17 → May 17).
  • It is the Client’s responsibility to ensure a valid payment method is on file.

2.3 No Refunds

All payments are final and non-refundable, including unused sessions, early cancellations, or auto-renew charges.

3. Session Expiration Policies

3.1 Membership Session Window

All monthly membership sessions must be used within 35 days of the billing date.
Unused sessions do not roll over and are forfeited.

3.2 10-Session Package

10-session packages have 120 days from the purchase date to use all sessions.
Unused sessions expire and are forfeited after 120 days.

3.3 No Extensions

Expiration dates are firm, except in rare cases approved solely at the discretion of Refinery Strength Collective, LLC.

4. Cancellations, Rescheduling & Attendance

4.1 Client Cancellations

Clients must provide timely notice if they cannot attend a scheduled session.
Missed or late-canceled sessions may be forfeited based on the policy in your membership/package.

4.2 Coach Cancellations

If the Coach must cancel or reschedule, the session will be rescheduled without penalty.

4.3 Lateness

Sessions will begin and end at the scheduled time.
Arriving late does not result in an extended session.

5. Virtual Coaching Terms

Virtual Coaching Clients receive, depending on their tier:
  • Customized monthly programming,
  • Regular check-ins (weekly, biweekly, or monthly depending on plan),
  • Messaging support within the platform during business hours,
  • Technique feedback as outlined in the Client’s tier.
Programs are delivered monthly and are not prorated based on participation or Client availability.

6. Client Responsibilities

Client agrees to:
  • Communicate injuries, limitations, or concerns promptly.
  • Follow programming and instructions safely.
  • Arrive prepared for sessions (in-person or virtual).
  • Maintain an active payment method.
Failure to follow Coach’s guidance may affect progress and safety.

7. Health & Medical Disclaimer

Refinery Strength Collective, LLC is not a medical provider and does not diagnose, treat, or cure medical conditions.
Client acknowledges:
  • Coaching is for educational and general wellness purposes.
  • You should consult your physician before beginning any exercise or nutrition program.
  • You participate voluntarily and assume full responsibility for your own health and safety.

8. Assumption of Risk & Liability Release

By participating in coaching services, Client voluntarily assumes all risks associated with physical activity, including but not limited to: injury, illness, strain, or adverse health events.
Client agrees to release, indemnify, and hold harmless:
Refinery Strength Collective, LLC, its owners, coaches, independent contractors, employees, and representatives
from any and all claims arising from participation in coaching services.
This includes in-person, virtual, at-home, gym, or third-party location training.

9. Communication & Conduct

  • Coach communicates during normal business hours unless otherwise stated.
  • Harassment, inappropriate behavior, or disrespectful conduct will result in termination of services without refund.
  • Client agrees to professional, timely communication.

10. Cancellation of Membership

You may cancel your membership at any time.
To avoid being charged for the next cycle, cancellation must be submitted prior to the renewal date.
There are no refunds for partial months or unused sessions.

11. Governing Law

This Agreement is governed by the laws of the State of Iowa. Any disputes will be handled in Polk County, Iowa unless otherwise mandated.

12. Entire Agreement

This Agreement represents the full understanding between Client and Refinery Strength Collective, LLC and supersedes any prior discussions or agreements.
